Overview of the role

The role is quite varied and involves a medley of admin and straight forward operational support to the marketing and sales team. It also involves working as Juliet's PA, primarily in a personal capacity, taking care of the admin surrounding a small property portfolio.

There is no set pattern to your working week as it all depends on the needs of the business at the time. Some of the tasks that are client facing work need to be done within the core working hours of 9:30am to 3pm, but the non-urgent work can be completed within your own time - as long as tasks are kept up to date each week/month etc. You will paid for the hours that you do which will vary but likely to grow as the business grows! As a benchmark you can expect to be needed approximately 15 hours a week. In August you can expect this to be a lot less as businness is traditionally very quiet.

Our ideal candidate will live within a short commutable distance of Balham in Wandsworth so that you are both readily available to attend team meetings as well as carry out some of your admin responsibilities in Juliet’s office as and when required. 

This role is perfect for either someone who has had a career break,  or has children at school at wants to work during the school hours (we still need the work done during the school holidays but we can be flexible) or you may have another small client and you are now looking for an additional larger client to boost your productivity and income. We are a very small and nimble team but we are growing so we need someone who sees this role  as one that they want to nurture, grow and adapt with it as the business expands. 

Admin responsibilities

  • Support the sales team to write sales presentations in google slides

  • Upload surveys on to Survey Monkey and test user journey   

  • Record all referrals

  • Create case studies

  • Organise team meetings, take and distribute the team minutes

  • Answer the office telephone line

  • Manage the general office email and either respond directly to enquiries or forward them promptly to the relevant team member

 Marketing and Operational Support

You will be responsible for keeping some of the content on the website up to date. If you have never managed a website before then don’t worry we can easily train you to do this as it is very straightforward to do. Key responsibilities will include the following:-

  • Some of our clients need  help posting their adverts on our site. You would be the ‘go to person’ for this work. 

  • Uploading blog content

  • Keeping testimonials, company logos etc up to date

  • Uploading the content provided by the marketing team for the weekly and monthly emails, ensuring everything is in place and accurate and done by the required deadline

Essential Skills

  • You need to be incredibly well organised, methodical and have an eye for detail
  • Grammatically literate
  • You need to enjoy talking to clients in a very professional and friendly manner
  • Very familiar with working with the following:
    • Google Docs
    • Google Sheets
    • Google Slides
    • PowerPoint

A real bonus for us is if you are also familiar with the following software. But if you aren’t don’t worry as we can readily train you to use these systems as they are all are very straightforward to use. 

  • Website Content Management Systems

  • Mailchimp

  • Pipedrive

  • Monday.com

PA to Juliet 

  • Support with managing her Inbox

  • General filing 

  • Manage the letting site for her holiday home dealing with all enquiries and ensuring that the housekeeping team are kept up to date. This work tends to have a peak period of activity from December to April and then eases off.

  • Ensure all income and expenses are accurately recorded and sent to the accountants

  • General admin support for ad hoc tasks

Experience
  • Previous admin, operations experience would be fabulous but so too would someone who regards themselves as innately organised and would love to take on a new role.
