Finance Manager

Job Purpose

To carry out both the day to day tasks for the finance department (processing supplier/client invoices, dealing with cheques, bank recs etc) and perform the month end activities so that the accounts can be prepared in a timely manner

Key Responsibilities

  • ­Manage all accounts related queries, emails and phone calls

  • Review and update the Cash Flow Forecast and Management Accounts weekly

  • Keep the invoicing schedule and pipeline tracker updated

  • Weekly reporting of key points to the directors 

  • Prepare and process all payroll and expenses payments

  • Monitor timesheets to make sure they are completed each month and inform the Management Team should further action be recommended

  • Ensure salaries, pensions, HMRC payments, credit cars and expenses are paid on time

  • Create all hosting, creative and digital marketing invoices to schedule, liaising with the team as required. Including the recharge of any media spend costs incurred on behalf of the clients

  • Send out all invoices on behalf of the company

  • Send & deposit all cheques to the bank in a prompt manner

  • Ensure all credit control processes are adhered to and that clients pay their invoices on time as per their terms

  • Notify the CEO of any bad or slow payers

  • Processing all supplier invoices in a prompt manner ensuring accuracy of coding

  • Make all payments to all suppliers on a weekly basis against their terms

  • Process the information from the company bank accounts and ensure that they are reconciled regularly

  • Ensure the month end process is stuck to and any issues are raised with the CEO

  • Process all month end journals (Payroll/Timesheets work done / WIP/ Google Amex etc..) in accordance with the month end processes

  • Review the monthly trial balance and investigate unusual transactions and large variances to budget

  • Carry out balance sheet reconciliations per the agreed schedule to ensure accuracy of the accounts

  • Report on all finance activities to the CEO each month

  • Treat all staff salary and payment details as completely confidential at all times, taking steps to minimise visibility of this information where possible

  • To produce monthly reports as per the process document and sharing these with the management team within 7 working days of the month end

  • Prepare and Submit quarterly VAT return

  • Prepare and submit P11D class 1 NI reports (annually)

Other Responsibilities

  • Action requests from the board and management team as requested

  • Keep process documents up­ to ­date

  • Open post / emails addressed to finance/accounts

  • Make sure Xero is up to date with new/amended opportunity references 

  • To manage all existing clients website domains, insuring all invoicing is up to date and sending these to clients as necessary
