The Head of Finance will be responsible for the management of all financial systems, reporting directly to the Chief Operating Officer, liaising with the Chief Executive, Finance Sub-Committee and external auditors.
Strategic Finance and internal resources
*Provide the senior management team and Trustees with regular financial reporting and insights that clearly identify opportunities and gaps and inform key decisions, planning processes and policies.
*Ensure that an appropriate financial framework is in place to guide financial decision-making.
*Ensure effective financial management and control of all financial assets; including cash flow, bank accounts, books and records of the organization.
*Deliver management account reporting that is accurate, effective and leads to compliant statutory accounts.
*Financial control policies and procedures, including ensuring best value purchasing.
*Work with the Chief Executive and senior leadership team to produce an annual budget for approval by the Trustees.
*Work with budget holders to develop their financial understanding and ownership of individual budgets.
*Produce and publish best practice audited accounts in conjunction with the Finance Sub-Committee and external auditors
*Provide quarterly management reports for the Trustee meetings which tracks: trends, revenue income; and agreed KPIs.
Operational Finance Management
*Management of recording of grant programmes and the provision of reports as required
*Management of the legacy income
*Monitor cash balances and produce cash flow forecasts as required
*Ensure cash is deposited across bank accounts to minimise exposure risk and ensure government protection is in place for deposits
*Oversight of quarterly investment reports and posting of quarterly movements.
Financial recording processes
*Audit and continually improve safeguards to enable safe and efficient processing of income and expenditure.
*Record all financial information in line with data protection legislation
*Liaise with the auditors to provide annual audited reports to Chief Executive and Trustees which contribute to the final annual accounts.
Payments, invoices, banking and credit controls
*Review work produced by the accountant in these areas monthly and sign off as evidence of checking.
*Process income direct debit set ups and payments monthly in conjunction with the fundraising team and resolve rejected payments on a monthly basis.
*Ensure objectives and measurable targets are in place for all staff in the team and oversee their day- to- day management.
*Carry out formal and informal supervision sessions, appraisal related targets and management expectations.
*Align training practices for staff to strategic and operational objectives.
