Because we are a small team, in a small office, the office management part of the role may not take up all your time so we are looking for someone who might have an interest in the industry, or in international affairs more generally, to join us to make sure the office runs smoothly at the same time as gaining some experience as a corporate intelligence analyst. 

Administrative support of the Directors 

  • Manage Director diaries
  • Support the Directors with general admin
  • Take Board Minutes (if applicable)

Office and Business management

  • Manage client payments and “onboarding” requests - create, issue, track and follow up on Orbis invoices
  • Manage supplier payments – manage and pay supplier/associate invoices
  • Manage internal payments including salaries, PAYE, expense claims
  • Responsibility for maintaining the physical office environment – stationary, furniture, décor, helping to meet and greet clients (with appropriate budget)
  • Assist team with travel logistics (hotels/flights for staff travel) and coordination of away days/strategy meetings, Orbis social events
  • Coordinate the team - manage the leave and deadline calendars
  • Manage the business development pipeline and hold team to account on BD campaigns
  • Assist Business Development by researching BD leads and producing marketing material, helping to produce briefing packs before client meetings
  • Managing internal databases including report and proposal databases, client databases, and associate / source databases

  • Previous office management experience requested, but not necessary.
