The company

John Wilcox & Co is a small independent estate agency which has been part of the Holland Park landscape for over 40 years.  We are a specialist firm dealing with high-end properties and their owners, all of whom are genuinely normal people who we treat as friends as well as clients.  We deal with sales and lettings and have a small team in the office of only three people.

Overview of the role

The role is quite varied and involves a medley of office and property management administration and client services.

Office Manager responsibilities

You are the go-to person in the business to support the team and the MD with any administrative tasks, such as:

  • Provide cover for the office when fee earners are out on viewings
  • Manage diaries for viewings as and when needed
  • Manage the post, supplies and stationary
  • Liaise with IT Consultants when necessary
  • Assist in preparing & manage distribution of door-to-door flyers
  • Prepare and publish our digital monthly newsletter

PA to MD

  • Assist in running the business
  • Keep up to date biannual review of the company SWOT analysis
  • Pay bills weekly, reconcile petty cash and liaise with the bookkeepers
  • Manage all insurance and compliance policies and utilities contracts

Property Management responsibilities

A vital part of this role is to ensure that you are first rate and keeping the landlord, tenant, and contractors fully informed. The role encompasses the following tasks: -

  • Manage the maintenance and repairs schedule
  • Report all issues to the landlord and notify the tenants
  • Carry out quarterly inspections & report to the landlord
  • Ensure compliance certificates are always up to date (Gas Safety, Electrical Safety and Energy Performance)
  • Logging all rental income
  • Ensuring that the landlords and contractors are paid on time
  • Reconciling the client account

Essential skills

  • You need to be incredibly well organised, methodical and have an eye for detail
  • Grammatically literate
  • You need to enjoy talking to clients in a very professional and friendly manner
  • John Wilcox plays an important role in the local community and people drop in all the time so it is essential that you are able to take care of them and make them feel valued
  • Familiar with Microsoft Office

Time: 4 hours per day, 5 days per week, between 10am – 2pm

100% Office based role in Holland Park, London
