Office Manager / AdministratorWimbledon£28,000 – pro rata for part timeFull or Part Time (3-5 days per week)Full time permanentOur client is looking for an enthusiastic and organised Office Manager to join our growing business. A great opportunity to join this small but growing company.Office Manager responsibilities include managing internal and external communications, scheduling meetings, managing suppliers, greeting visitors and providing general administrative support to our employees. Previous experience as a Front Office Manager or Office administrator would be an advantage. A successful Office manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties.Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.Responsibilities• Client Invoicing• Supplier negotiations / payments / management• Bookkeeping (Sage & Xero) / expenses (where / if necessary)• Social Media management (maintain / post / manage corporate social sites)• Manage company website – maintain content / job posts• Staff communications / contracts / holiday charts / administration etc• Mail and Electronic Mail Shots• Office Equipment and supplies• Organising staff events / incentives• Schedule meetings and appointments• Organize the office layout and order stationery and equipment• Maintain the office condition and arrange necessary repairs• Update and maintain office documents and policies as necessary• Organize office operations and procedures• Support with contract and price negotiations with office vendors, service providers and office lease as appropriate• Provide general support to visitors• Assist in the onboarding process for new hires• Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)• Liaise with facility management vendors, including cleaning, catering and security services• Plan in-house or off-site activities, like parties, celebrations and conferencesRequirements• Proven experience as an Office manager, Front office manager or Administrative assistant• Knowledge of office administrator responsibilities, systems and procedures• Proficiency in MS Office (MS Word, Excel and Outlook, in particular)• Hands on experience with office machines (e.g. printers, computers, phones)• Financial management experience• Knowledge of social /digital media sites and website content (non-technical)Disclaimer: Due to the high amount of interest that we receive for each of our roles, unfortunately we cannot respond to each application individually, therefore if you do not hear back from one of our consultants within 14 days then unfortunately you have not been shortlisted for this role
