Office Manager - Part-Time

OFFICE MANAGER - PART TIMEMon - Fri 9.30am - 2.30pm£20,000 - £25,000 Pro-rata DOEA Fantastic opportunity for an experienced office manager to join our client based on the outskirts of Bedford.The Office Manager role is primarily to manage general office procedures to ensure processes and procedures in the office flow efficiently and to maintain clear and accurate records on office expenses by managing customer and supplier invoices and ordering supplies.Responsibilities / Duties:Finance dutiesProcess customer invoices in Xero, credit control and weekly aged debtor reportingProcess supplier invoices and staff expenses in DextProcess payment runs in Xero and setup payments in the bank as neededContinuous improvement of financial controls and processesHR duties;Monitor HR records and training records and ensure it is up to dateArrange new starter induction programmeBook visitors into Security database, ensuring all visitors are provided with required documentationSales Support:Support sales team with receiving Sales Orders and adminGeneral administration responsibilities:Answering incoming calls, meeting visitors and dealing with incoming/outgoing postAnswer general emails and postal correspondence from customers and suppliersContinuous management of enquiries and finance inboxes, providing cover for other shared email addresses as neededArrange Board Meetings/ad hoc meetings as required including room bookings/refreshmentsUpdate the team on new starters and any other changes relating to staff on siteOrder office suppliesMaintain and archive accurate recordsArrange travel and accommodation plans for executives when requiredProvide administrative support to the directors as neededLiaise with shareholders when requiredKeep Data Room records up to dateArrange external shipments as required for both customer sales and conference attendanceAny other ad hoc duties as necessaryEducation Level and experience:Finance, Office Management and Customer facing experience is essentialExperience of Dext and Xero is desirableA familiarity with scientific terminology is desirable.Knowledge of quality standards would be advantageousBasic requirements:Proficiency in Microsoft Office; excellent communication skills, both verbal and written; exceptional organisation skills; professional telephone manner; ability to work well and perform under pressure; excellent customer care skills; ability to maintain strict confidentiality; ability to prioritise effectively; keen attention to detail; excellent time management skills; accurate data entry skills; positive attitude; reliable and dependable.If you meet the above criteria, experience and skills, we would like to hear from you!Please check out our Privacy Notice to bring you up to speed with your rights over your dataAnd GDPR: Privacy NoticePlease note that at times due to the volume of applications we may not be able to respond to each person individually.
