Personal Assistant/Office Manager (Part Time) 18-25 hours per weekOur client is a small but extremely busy chartered surveying practice established for ten years, specialising in Party Wall Surveying services. The work is quasi-legal and therefore the attention to detail is of paramount importance and a legal background will be a distinct advantage. Most of the work is in London, and therefore the candidate will be expected to work proactively alone in their office in Kings Hill, West Malling. You will need to be proactive, and be able to prioritise work, clients and projects accordingly.Our clients company is a modern progressive construction consultancy working within a demanding environment. This job description should therefore be treated as a guide only.Job ResponsibilitiesThe job responsibilities described hereafter are a guide and all employees will be expected to undertake tasks as directed by the Director. * Assist the company in its delivery of Party Wall Surveying Services on behalf of residential and commercial clients. * Proactively deliver and co-ordinate all administrative tasks related to the business in accordance Guidance Notes and templates. This to include the management and undertaking of audio and copy typing, project related telephone, email and post traffic. * Liaise with the client organisation, contractors and other surveyors to develop and enhance communication, deliver accurate and timely information and provide a single point of contact for the clients into the project team. * Take responsibility for project electronic and hard copy and archive filing systems in accordance with relevant protocols and ensure adherence to all procedures. * Assist in the production of fee accounts and the recovery of fees from debtors. * Organise appointments for surveys with other parties including surveyors, residents and organisations etc. * Act as a conduit between the Managing Director and Corporate Clients. * Maintain office IT systems and have the knowledge and experience to be able to know how to remedy.Working Practices * Manage in and out box of email. * Manage photographic libraries. * General software/IT knowledge, the use of dropbox, zip folders, one drive etc * Manage the office, project files and filing, stationery supplies etc. * Highlight best practice and aid it’s development throughout the organisation. * Accessing land registry website and assist in preparation of Party Wall Notices and draft Awards.Personal Specification (knowledge, skills, experience)Intermediate level Microsoft Word, Outlook, Excel and PowerPoint. * Proven experience in a proactive office administration role. * Proven experience in a role requiring excellent inter-personnel skills. * Proven Legal BackgroundSalary £12.50 per hourWe are acting an as Employment Agency in relation to this role
