Job Title : Accounts Assistant

22.2 hours per week (0.6FTE) x 52 Weeks per year

Salary: Pro rota £11,832-12,455

Reporting to the Accounting Services Manager, this role is part of the Accounts Payable team which supports the payment of supplier invoices

The role supervises the work of the Accounts Payable team (3 members of staff) on a day to day basis, and acts as first point of contact for queries from budget holders and requisitioners within the College, as well as from suppliers.

The focus of the Accounts Payable function is the timely and accurate entry of supplier invoices and credit notes into the Agresso finance system, ensuring that the agreed standards in department Service Level Agreement are met.

The role is responsible for preparing a supplier pay run each week, ensuring that suppliers are paid within agreed timescales (30 days), with supplementary pay runs prepared as required to meet supplier payment terms.

The role oversees the matching of invoices to the correct Purchase Order, and reviews invoices which are registered but not matched to a Purchase Order each week, ensuring follow up with the relevant requisitioner or budget holder.

The role also responds to queries raised by requisitioners from all departments within the College, and from suppliers. This must be done on a timely basis in accordance with Service Level Agreements

The role co-ordinates the completion of supplier statement reconciliations, ensuring that appropriate follow up action has been taken. Regular summaries of old unpaid invoices and debit balances should be prepared as required, with follow up actions documented.

The role oversees the accurate maintenance of supplier masterfile data, ensuring all input is checked by another team member, and backup provided for all changes shown in the weekly audit reports which must be run with each pay run. Reports of supplier spend must be run as required.

The role ensures that up to date procedure notes are held for all aspects of the department, and for ensuring that adequate cover is maintained.
