\nPart Time Finance Manager four days a week flexible hours \u00A337,000 Dulwich London\n\nThe Associated Country Women of the World, a successful, long-established charity, exists to support, protect and promote the rights and lives of rural women worldwide. We work with more than 400 member societies and thousands of individuals in more than 80 countries, representing more than 9 million women. Holding Consultative Status with the UN and a number of its Agencies, we fund women-led, rural development projects as well as ensure that governments and authorities are made aware of their issues.\n\nReporting to: Chief Executive Officer\n\nJob Purpose: To carry out a range of finance functions in Finance to agreed standards.\n\nKRA 1\n\nManagement Accounts \n\nProduce Quarterly or monthly management account reports from the Harlequin Finance Accounting Module, in line with frequency specified by CEO\/Treasurer. Ensure that variances from the annual budget have been reviewed and can be explained within the reports.\n\nMeasures: \n\n- Regular, accurate, monthly\/quarterly management accounting reporting information produced to a specified deadline agreed with the CEO\/Treasurer\n\n- Comparison of monthly\/quarterly actual results to the budget plan for the year and appropriate remedial action taken as and when needed, by discussion with Budget Holders.\n\n- Annual Audit\n\nKRA 2\n\nVAT Returns HMRC - Statutory \n\nProduce Quarterly VAT Returns using the Harlequin income accounting data and expenditure reports - exported into Excel from the Harlequin Finance Accounting Module. When finalised, submit the electronic version to HMRC by the deadline, using My Digital Sofware. Ensure that Barclaycard expenditure is accounted for within the VAT reclaim.\n\nMeasures: \n\n- Ensure all VAT paid relating to Membership Income, in line with current subscription charges and in line with current VAT factors agreed with HMRC\n\n- Ensure the reclaim of VAT on all allowable bank and Barclaycard expenditure\n\n- Annual Audit\n\nKRA 3\n\nControl Account Reconciliation: \n\nEnsure that all Nominal Ledger Bank Accounts and the Barclaycard Account are fully reconciled back to the bank statements on a regular basis, including Salary control accounts and the VAT accounts. \n\nMeasures: \n\n- Demonstration that all financial transactions can be tied back to the relevant bank statements on a monthly and yearly basis and validated at audit stage.\n\n- Ensure that accounting journals\/adjustments are done within the Management Accounts and within the Harlequin Finance module to reflect the correct balances on bank account control accounts, salary related and VAT control accounts.\n\n- Annual Audit\n\nKRA 4\n\nBanking Operations - setting up creditor payments \n\nSet up new templates on Bankline system and update existing ones to produce payment details for regular BACS creditors and for all expense payments, both in the UK and international. Prepare these payments fully for final approval on Bankline of CEO. Follow up any queries relating to online payments with the bank Customer Service Team. Perform any other banking signatory duties ad hoc\n\nMeasures: \n\n- Creditors paid by due date on invoice, and staff\/trustee\/executive expenses paid promptly\n\n- Fully check that all relevant ACWW Travel documents have been completed, approved and backup documentation submitted for expenditure before arranging payment\n\nKRA 5\n\nPetty Cash - cash tin and electronic recording \n\nReconcile petty cash tin and contents on a weekly basis and update the electronic Petty Cash spreadsheet regularly as well. File receipts\/backup and ensure that petty cash slips are used to account for any money distributed from the tin prior to purchase and obtaining receipts. Post Petty Cash transactions monthly on to Harlequin Finance.\n\nMeasures: \n\n- All petty cash transactions recorded and analysed online, including any foreign currency transactions\n\n- Cash balances on the spreadsheet reconciled to the cash in the tin regularly\n\n- Annual Audit\n\nKRA 7\n\nBarclaycard Statement Reconciliation \n\nReconcile monthly online all Barclaycard transactions posted onto the accounts system against the monthly Barclaycard statements. Correct any posting errors and post any missing transactions so that the balances are the same in Harlequin Finance and on the statements. Print and file monthly online Barclaycard reconciliations.\n\nMeasures: \n\n- Agreed, reconciled monthly Barclaycard balances\n\n- Annual audit\n\nKRA 8\n\nProject Funds (Restricted Monies) \n\nResponsibility for setting up payments on Bankline for 1st and 2nd stage Project grants issued by ACWW, subsequent to review and approval by the Projects Committee.\n\nChecking validity of all bank details received and any financial calculations involved in the amounts due for payment.
