Part Time Office Manager

The Office Manager will be responsible for the day-to-day smooth running of the office. This is a part time position, ideally 5 hours per day across 5 days per week, but the client is flexible for the right candidate. School hours would suit perfectly.

Administration Duties:

  • Administrative duties of new, lost or replacement access fob requests
  • Handle general access enquiries from any source
  • Visitor notification, collection
  • Responsibility of stock replenishment, including, but not limited to: stationary, consumables, seasonal requests
  • Request for contractor services (cleaning/vending) on an ad-hoc basis including contractor liaison and site briefings when necessary, monitoring contractor KPI's and standards
  • Company credit card ordering
  • Company phone ordering and contract tracking
  • Front of House Services as sole receptionist of building including meeting room requests and booking, gatekeeping, call transfers and general call handling
  • Set up and support of internal meetings and conferences
  • Provide support for catering requirements, arrange lunch for meetings
  • Assisting in planning staff and customer events
  • Manage postal duties including collection, sending, sorting of parcels and departmental letters and working with couriers
  • Other ad-hoc office management tasks, as may be required

Company Vehicle Management Duties:

  • Company mini-fleet insurance management: changes, renewals and cancellations
  • Responsibility of documentation relating to company cars, keeping track of company car list

Health and Safety Duties:

  • Site/ new starter briefings (health & safety admin)
  • Alert management of any issues with fire extinguishers, hot/cold water systems, electrical items, fire hazards, security and fire doors and cleaning standards
  • Track and update the H&S paperwork where necessary
  • Fire alarm testing

Building Management Duties:

  • Physical daily office checks
  • Building management liaison regarding maintenance
  • Facilities management liaison, lease agreement tracking for multiple sites
  • Maintenance of building common parts
  • Internal access and car park monitoring
  • Monitoring the internal security system maintenance
  • Act as building fire representative
  • Primary First Aider and Fire Marshal (training will be provided)
  • Key holder and first point of contact for building security provider


Someone who lives locally to Newark with a strong administration background who is looking to work part time.

Job Offer

£20,000 - £23,000 pro rata to part time hours
