The Proposals Co-ordinator will be part of the Rail Business Development Team which has the role and responsibility to manage work winning opportunities through a robust proposals process.  The role encompasses support to work winning activities across the capture and convert phase of the WSP winning work lifecycle.  Core functional duties include pursuit and proposal coordination and business development administration.  This includes coordinating the interfaces between business leaders, technical staff and others in the proposals team to produce best quality proposals.

The Proposals Coordinator needs to understand the objectives of the Rail team and to play a key part in the production of compelling materials mainly through bid and proposal management and production of well written responses.

A typical week would include:

  • Acting as a hub of Rail best practice and knowledge for proposals.

  • Managing/facilitating the delivery of bids or parts of bids/PQQs including proposal kick off, winning and review meetings following governance processes

  • Following WSP best practice governance including supporting qualification, review and close out procedures (e.g lessons learned reviews)

  • Organising proposal programme from capture planning, kick-off and review meetings including all agenda, materials and outputs.

  • Working with technical authors to convert knowledge into winning solutions and proposals.

  • Manage interfaces with the proposals team, other UK/global business streams and partners/ subconsultants.

  • Formulating overall structure of the proposal submission before writing starts – source existing material/best practice answers, develop answer plans

  • Writing and supporting impactful, tailored, technically differentiated bid content, and creating visually compelling graphics

  • Supporting project teams in preparation for client interviews including presentation development and coaching

  • Conducting market research and analysis, client and competitor intelligence, contribute to capture planning for pursuits.

  • Contributing to proposal winning strategies including deconstructs, SWOT analyses, proposal win themes and storyboard development.

  • Ensuring the WSP message and brand is promoted, including best practice materials such as CVs and project sheets.

  • Improving the quality and standards of proposal writing and production, promoting best practice for layout and content of all proposal submissions.

  • Collating proposal feedback from all members of the project proposal team for continuous improvement and emerging best practice.

  • Administering Decision to Bid gateway process (support BD Director, senior leadership and the rail team), including maintaining log of minutes and archive, follow up actions.

  • Administering pipeline data in Business World, the WSP’s business information system – ensure all data is kept up to date and work across the business to maintain robust pipeline, mapped onto forward business planning/forecasting. Work with BD Director and Group Directors/Service Leaders to identify gaps.

  • Manage portals/client facing communication channels to progress pursuits.

  • Excellent command of English language for editing text, proofreading and and response writing.

  • Robust project management skills with a meticulous approach to detail and quality

  • A pro-active approach, using initiative and taking responsibility for own actions

  • Ability to assimilate large volumes of information and understand, plan and manage associated workflows

  • Ability to develop strong relationships and rapport with internal and external stakeholders

  • A passion for quality and continuous improvement with a focus on delivery
