The Proposals Co-ordinators role and responsibility is to manage work winning opportunities throughout our proposals process.

The role encompasses support to work winning activities across the capture and convert phase of the WSP work winning lifecycle. The Proposals Co-ordinator is accountable to the Head of Strategic Bids. Core functional duties include coordinating the interfaces between business leaders, technical staff and others in the proposals team to produce high quality proposals.

A typical week would include:

  • Helping implement the UK work winning process, coordinating interfaces with other UK/global business streams and the UK Proposals team.

  • Producing or supporting production of proposal specific and other collateral appropriate to capture or convert phase to ensure the WSP message and brand is promoted

  • Coordinating the decision making process for each proposal.

  • Organising proposal kick off, winning and review meetings including all agenda, materials and outputs

  • Contributing to proposal winning strategies including swots, proposal win themes, gap to proof analyses and storyboard development.

  • Preparing proposal timelines and produce / communicate / monitor proposal action plan to drive opportunity through a structured, robust work winning process

  • Formulating overall structure of the proposal submission before writing starts

  • Ensuring that all team members are clear on what is required of them

  • Programme review milestones early in the process

  • Reviewing and adopting proposal winning strategy Maintain links with client (if required) building rapport, ensuring clarification questions are submitted and responses received, keep a log.

  • Maintaining close liaison with all members of the project proposals team

  • Maintaining document control

  • Ensuring submission is returned to client within the given deadline

  • Writing text for proposals and pre-qualification questionnaires

  • Searching, retrieving and inputting all re-usable proposal components and facilitate required inputs from internal and external contributors

  • Use of innovation to deliver key messages to the client

  • Supporting project team in preparation for client interviews

  • Improving the quality and standards of proposal writing through training and development of self and others

  • Collating proposal feedback from all members of the project proposal team for continuous improvement and emerging best practice

  • Promoting best practice for layout and content of all proposal submissions

We'd love to hear from you if you have:

  • Qualification to degree level in an appropriate subject

  • In depth knowledge of Microsoft Office and knowledge of Adobe products is desirable

  • An APMP qualification is desirable

  • Demonstrable relevant experience in a similar role

  • An understanding of the UK procurement environment

  • The ability to maintain an awareness of the Group and UK Strategy, the regional activities of business developers, key client managers to support the preparation of proposals and work winning strategies in the capture phase.

  • The ability to help drive and support the culture of openness and knowledge sharing required within the team

  • Support and promote a culture of continuous improvement.

  • Behaviours and attitudes in accordance with WSP core values to create a team culture and promote excellent communications.

  • Knowledge and understanding of standard private and public sector proposal processes

  • A pro-active approach, use initiative and take responsibility for own actions

  • Assimilate large volumes of information and understand, plan and manage associated workflows

  • The ability to develop relationships and rapport with internal colleagues

  • Strong and effective verbal and written communication, team player and collaborative

  • Ability to develop and maintain strong effective relationships

  • People skills to encourage, motivate and enthuse others

  • Robust project management skills with a meticulous approach to detail and quality.

  • Excellent time management skills and ability to prioritise.

  • A passion for quality and continuous improvement with a focus on delivery

  • Confidence to delegate to all levels, where required

  • Good command of English language for editing text and response writing.

  • Flexibility to meet demanding proposal deadlines working extra hours when necessary.

  • Accurate and proficient in Microsoft office suite, Adobe suite, InDesign and graphics skills
